Schedule a site visit from a lead

Use the lead details page to lock in a visit date and time as soon as the customer is ready, so your team can move from enquiry to quoting with a clear next action.

When to set the visit

Set the visit as soon as you have enough contact and location detail to commit a time with the customer. This keeps follow-up moving and gives your estimator a firm appointment to plan around.

  • Set it after first contact when the customer confirms availability.
  • Update it when weather, access, or customer timing changes.
  • Clear it if the appointment is cancelled and no replacement time is agreed yet.

Check the lead details before booking

A quick review before scheduling avoids missed visits and back-and-forth calls on the day.

  • Confirm Full Name and Phone so the crew can contact the right person.
  • Confirm the site Address and any access context in notes.
  • Review Fence Type and message notes so the visit purpose is clear.
  • Set the lead Status to match progress, including Site Visit Scheduled when a time is locked in.

Set the site visit on the lead record

  1. Open the relevant lead from your leads list.
  2. In Lead Details, go to Schedule Site Visit.
  3. Select the visit date and time in the date picker, then apply the selection.
  4. Update any related fields such as status or message notes if needed.
  5. Click Update Lead Details to save.

If you need to remove the booked time, clear the date field and save the lead again.

What updates after you save

When a visit date is saved, the lead carries that appointment timing in the main record and the visit can appear in your calendar workflow. This helps office staff and field staff work from one schedule.

  • The visit timestamp is stored against the lead for ongoing updates.
  • The lead remains accessible for quote creation and later conversion steps.
  • Calendar views can reflect the scheduled visit so the team can see upcoming appointments.

Useful follow-up checks

  • Open the lead again and confirm the visit field shows the expected date and time.
  • Check that the status and notes reflect the latest conversation outcome.
  • Confirm the appointment appears in your calendar planning view when reviewing upcoming work.
