Use Duplicate Detection on a lead to find likely matching records by contact and address details, so your team works from one clean lead history before quote or project actions continue.

When duplicate scans are most useful

Run a duplicate scan when the same customer may have reached out more than once, or when office staff imported or entered lead details from different channels. Early scans reduce repeated follow up and prevent split record history.

  • Run it before preparing a new quote for a lead with familiar contact details.
  • Run it after updating a lead email, phone, address, or suburb.
  • Run it when two team members have spoken to the same household on separate records.

Prepare lead details before scanning

Duplicate matching is strongest when core details are accurate. Take a moment to confirm the fields that the scan uses, then run the check.

  • Full Name: enter the customer name in a consistent format.
  • Email and Phone: remove obvious typing errors.
  • Address and Suburb: keep these current so location based matching is reliable.
  • Status and notes: keep operational context clear for anyone reviewing scan results.

Run Duplicate Detection from the lead record

  1. Open the lead you want to check.
  2. Expand Advanced Options on the lead page.
  3. In the Duplicate Detection area, select Scan.
  4. Review the list of potential matches shown beneath the scan control.

If no likely match is found, the lead shows a clear empty result message and you can continue normal lead handling.

Review confidence and match clues

Each candidate card includes a confidence percentage and the fields used for matching. Use these clues to decide whether records appear to describe the same customer enquiry.

  • Confidence % helps you prioritise which candidate to inspect first.
  • Matched on shows whether the match came from email, phone, address, name, suburb, or a combination.
  • Open the candidate lead and compare recent notes, status, and visit details before taking further action.

After the scan

Once candidates are reviewed, decide how the team should proceed with the active lead record. If records represent the same enquiry, continue with your lead clean up process so quoting, scheduling, and reporting stay accurate.
