Merge duplicate leads

Use lead merge when two records represent the same customer enquiry, so your quoting and project history continues from one lead record.

Pick the lead record to keep

Before merging, decide which lead should remain active. The lead you choose as the target keeps the working timeline, while the duplicate lead is archived after merge.

  • Prefer the record with the clearest notes and latest contact details.
  • Check lead status so your team continues from the right pipeline stage.
  • If both leads have activity, open each one and confirm which record should remain your main lead.

Run a duplicate scan before merging

Open the lead you want to clean up, then use the Duplicate Detection scan in Advanced Options. The result list shows candidate leads with confidence scores and match clues.

  1. Open the lead record.
  2. Expand Advanced Options.
  3. Select Scan in the Duplicate Detection area.
  4. Review confidence and matched details for each candidate.

Use the matched fields and contact details to confirm you are merging records for the same customer enquiry.

Merge into the correct lead

From the duplicate candidate card, select Merge Into This Lead on the lead you want to keep. Fencify then applies the merge and takes you to the kept lead.

  • The lead you started from becomes the source lead in the merge action.
  • The candidate lead selected by the merge button becomes the target lead that remains active.
  • Use this direction carefully so the correct record remains your working lead.

What updates after merge

After a successful merge, Fencify archives the source lead and moves linked records to the target lead where available. This keeps commercial and delivery activity tied to one lead history.

  • Linked quotes and projects are reassigned to the kept lead.
  • Related visual plans and quote follow-up activity move to the kept lead when those records exist.
  • The merge result confirms how many linked records were updated.

Post-merge checks for clean lead history

After merging, open the kept lead and confirm the expected quote and project links are present. Run another duplicate scan on that kept lead so candidate results reflect the latest state.

  • Confirm contact details and site details are still accurate.
  • Check the quote list on the kept lead for continuity.
  • Brief the team that future updates should be made on the kept lead only.
